Can folder be hidden from certain team members?

We would like to split our business team into two parts

 

First part would be admins.  Read, Edit and View to ALL folders.

 

Second part would be editors.  Read, Edit and View to only CERTAIN folders.  All the other folders would be hidden and they would not know about them.

Hey rawsonl that’s a very interesting question & thanks for reaching out on our Community for an answer! 
 
A quick fire answer would be that there is, as folders are invite-only, hence only these members that have been granted access can see the content. Of course, your first step would be to create the relevant groups to split your team in two parts. Following, I’d suggest checking AgentJay’s post on Team Folders here, that would help you assign permissions to groups. 
 
A useful tip at this point would be to remember that it would be best to limit access on the top level & then slowly add groups or members as you’re schematically moving further below. 
 
I’m curious at this point though on whether you’d like to apply this change to an existing folder structure or create a new one you’ll create from scratch. Can you include this small detail in your next post? 
 
I’ll be awaiting your next message here rawsonl, so as to best advise how you could go about splitting your folderstructure!

We created a new team folder and only allowed certain members access to each folder.  So company owner folders are only shared with the owners.  All other folders are shared across the team.

I'm doing something similar, however what i've found is that I've great Top Level group folders for admin / management team, when I give permissions to subfolders to individuals these end up as the Top Level Group Folders in there drop box account which makes it confusing when trying to explain things

For example, two top level Teams - Sales, Design, only with Admins at top level with edit rights.

Within Sales I create a folder called Moscow and share to the Sales Group.

Within Design, I create a folder called Poland and share to the design Group

The Sales Group just see a Top level Team Folder called Moscow, which can't be moved into any fodler structure

The Design Group Just see a Top Level Team Folder Called Poland.which can't be moved into any fodler structure

if I share both folders with someone in both groups they see both in the top level.

 

On the same veign as the original request what we should see is that if a Folder within the Sales Team folder is shared it appears in the under the Sales Team  Folder, same with the design.

So if a user is in both they should end up with a Sales Team folder with Moscow in it and a Design Team Folder with Poland in it.

They can't view, edit or access anything else as they only have rights to the Moscow & Poland folders.

 

the way it is currently set regardless of the where in the folder structure a folder is shared it appears in the members folder as a top level folder.

Hey @Chris_Bramall, thanks for taking the time to get in touch with us with this detailed description on your team settings, let me ask you some follow-up questions to get a better understanding of your account setup & we’ll take it from there. 
 
To use Jay’s example here (& based on your description Chris), can you please clarify whether your sharing structure is as the one below? 
 
Sales (Team folder)> Moscow (shared folder)- shared with the Group Sales
 
Design (Team folder)> Poland (shared folder)- shared with the Group Design
 
If so, you may keep in mind that all users added to the top-level folder (namely the Team Folder on this example here) should automatically inherit access to all folders underneath with the same set of permissions & you can change that at any time through the Team Folder manager on your admin console. 
 
 
In case you’ve added members on the sub-folder level, then they should be able to see only some content (meaning only the content underneath), though you may add them to the previous level in case you’d like them to grant them visibility to more objects.

The key issue with sharing with view access at top level, it does not control who can see what further down, as they have global view access.

I don't want everyone to see the contents of every folder.

If you think of a conventional Server File share arrangement which everyone in a business environment is used to.

An authorised user can view what folders are available on the server but not neccessarily access them.

Those who are then authorised to view some of the directory's can access them and view but not edit.

Those who are authorised to edit can access , view and edit.

It almost feels like there is an access level missing which allows the right level of granularity, so that someone with access to the Top Level can see the folders within but can't drill down in either view or edit without the correct permission, this way the folder structure can be maintained without folder naming conflicts between the teams whilst giving the required level of data security control.

In an ideal world granting permission to a user at some level in the structure,  would allow them to see the structure to it but not access any other folders within the structure.

Jane your welcome, whilst at present it loks like the team system is not the best fit for me, if things change i'll certainly retest and feedback.

I've changed one folder accross to Teams, purly for the fact that directories can be shared at different levels.

Mainly to make syncing quicker for users who only need access to specific folders rather than the entire structure, and it works well, but does cause confusion as different people will have folders at different structure levels.

The other observation is around the management of groups being restricted to members of the specific team in the account. The admin should be able to add any dropbox user into a group. At present i'm having to keep a seperate note of which folders i've added a group to so I can manually add external users who should be in the group to the shared directory.
