How do you protect your data shared links?

Given that Dropbox doesn't allow admins to have a mandatory expiry time on links and there is no way to mass review and update shared links I'm curious how other business here go about protecting their data with shared links. 

 

Do you have a way to manage the links

Are your users amazing and always put expiry dates on links

Do you just accept that once shared externally that link will exist forever

Hey Lee_B, that’s a great question & thanks for reaching out for feedback on our Forum! 
 
At this point I won’t address your question towards other team admins, though I’d like to chime in on your inquiry in regards to:  
 
there is no way to mass review and update shared links
 
 That you can indeed review the following shared link Activity through your admin console: 
 
  • Shared a link with a group
  • Shared a link with Facebook users
  • Shared a link with non-team members
  • Shared a link with team members 
Following, in case you’d like to check back on the visible items on your Activity tab for your plan, you may have a look at this discussion here
 
Of course, I’ll leave your inquiry here, so that you gather feedback by other teams admins, though I’ll also be following up closely in case you may need more tips & tricks. Cheers!

Thanks for the quick comment Jane, I've reviewed the activity log this in itself has some issues. 

 

- As far as I can tell there isn't anyway to see all externally shared files & folders in a single report. I would have to run a report for each type of potential share or log into each user to see all their shares

- The main one for me is once I have a list of shares the only way I can remove them (as far as I am aware) is by logging into each user and disabling each link one by one

 

And thanks for leaving it here, I am keen to see how (if) others are dealing with this issue.

Oh, thanks a lot for the additional details in regards to this request Lee_B, I hope my message finds you well today! 
 
You’re right indeed, as currently the extracted records are more specific, therefore you may keep in mind that there isn’t a way to review all externally-shared docs (or other actions) in bulk in a single report at the moment. I’d happily pass your interest on to our team specialists internally though, as now I understand how you’d benefit by this option. 
 
When it comes to your second inquiry, the workaround to (not only monitor but also to) directly administer sharing rights for your team would be to create an intermediary account devoted to the purpose & share (both inside your team & externally) from there. This is merely to avoid disabling individual links by logging in to each user’s account.
