space issues for team members

Some team members are getting the message they are out of space and cannot view files in the Dropbox.  How can I fix this or help them fix it on their end? 

I am the “owner” and I have 11 team members and they do not add their own files, only read mine.  I don’t know how they are each accessing the Dropbox, but one person today said one of the files was missing, but it wasn’t, he just could not see it listed in the folder, so he apparently could see the other files, and he got the out of space message.

Hi @schellym, thanks for checking in with us. 

I'd be more than happy to help look into this with you, I'll just need you to clarify a few things for me. For example:

  • Could you make sure that you and the other members are logged into the relevant Dropbox account by checking the email address associated with it from the General tab?
  • If you're all indeed signed in to the correct account, could you confirm that you're on a Business subscription by navigating to the Plan tab?
  • Could you also let me know where the users are trying to preview the shared content from? Is it the website, the desktop app, or the mobile app?

Let me know what you find!

I am using the Basic plan.  The team uses various devices and and I have no idea what interface they each use; let's assume all of the interfaces possible.  I am using 780 MB of 2 GB, however, I have taken over this function as the host/owner for this team and the team has been using Dropbox, but a different account, for years. 

I am the host/owner and once per month I put files in folders for them to read, print, and as reference for their work.  They are "members" in the group and some I have sent links for the folder in use at the time.  They do not add or edit any files.  The files can be quite large (50-75 MB) and we might have 10 to 20 files (ranging from 1MB to 75MB or more) at a time, which is why we use Dropbox.  For several months, I have gotten complaints from several of the members that they cannot access the files and they get a message that their space is full and they also cannot delete old files.

Thanks for the additional info, @schellym

Those who have received the folder as a shared link won't find that the folder takes up space on their account.

However, those who have received it as a shared folder, whether they have edit or view-only access, will have had to add it to their account.

This means that the shared folder takes up space on their account and would explain why they're getting notifications about their accounts having reached the storage limit.

They can see how much storage they have available and how much is being taken up by regular or shared data by going to their Plan tab

If they want to make some space to go below the limit, they can either remove any unwanted regular files, leave any shared folders they don't need access to anymore, or even increase their quota
