Share files with new team members with Dropbox - Dropbox Community

When a new person joins the team, it’s great getting to know them, and there’s always a lot to learn in the first few weeks. Onboarding can be intense but making sure your new team member has access to all their files is important. Whether it’s before they start or as they get spun up, here are some tips on sharing files with team members. 
 

Team folders: 

 
A new team member is joining, well, a team, so there are already files and folders shared with groups of people that they will need to be added to. 
 
Team folders are first shared with Dropbox groups, which include members who perform similar functions (e.g. a finance group). Then, the admin who created the team folder sets the correct access level (view or edit) for each group.
 
Subfolders created in a team folder can also be shared with individual team members and people outside the team. As with groups, the admin can set view or edit permissions of individual members in subfolders. You can learn even more about setting these permissions here
 

Transferring files to the new team member:

 
If your new team member has taken over from someone else, you can simply transfer all of their files to the new hire. As the admin of a Dropbox Business team, you can use account transfer when you delete a team member's account from Dropbox Business or later on if it makes more sense (for example, after you've onboarded a new person who will need the files). Sharing files with a new team member:

 
If you discover another file that wasn’t included in the team folder that needs to be shared with your new team member, you can share that too. You can share folders and invite both co-workers and specific users outside your company. 
 
Folder permissions lets you decide whether to let people edit or view the contents. Different permission levels make it easy to give people access to specific subfolders rather than allowing them to see the entire folder, so you can stay in control!
