Regarding your first question, you can visit your Plan page here and see what takes up space from your Dropbox account exactly. Keep in mind that any shared folders/files you add to your Dropbox account will use up its quota, the same way that your personal files do (you can also read more details about this in our Help Center article).
Now, if your Dropbox account goes over-quota, you may no longer be able to make edits to your shared folder, or upload any new files to it. In some cases, you may also temporarily lose access to it (as outlined here).

I am very pleased you have jumped in Nancy. This has further contributed to my understanding of what is going on. I am heading towards the view our company’s DropBox arrangements have not been set up properly & need revising. Thanks to you, Megan & Mark for your kind assistance.
